What a Certificate of Insurance Usually Shows

A COI gives a snapshot of the business insurance policies listed on the certificate. It is often used as proof that coverage exists, but the actual policy language still controls how a claim is handled.

Common COI details
Named insured: The person or business listed as the insured on the policy.
Policy types: The certificate may show coverage such as general liability insurance, workers’ compensation insurance, commercial auto insurance, professional liability / E&O insurance, or a business owner’s policy.
Policy numbers and effective dates: These help the certificate holder see when the listed policies are active.
Coverage limits: The certificate usually lists the limits shown on the policy, such as each occurrence, aggregate, auto liability, or employers liability limits.
Insurance carrier and agency information: The COI identifies the carrier and the agency or producer that helped issue the certificate.

What a COI does not do
It does not replace the policy: The certificate summarizes coverage, but it does not include every policy term, condition, exclusion, or endorsement.
It does not change coverage by itself: If a contract asks for additional insured status, waiver of subrogation, or special wording, the policy usually needs the right endorsement or carrier approval.
It does not guarantee a claim will be paid: Claims are still reviewed under the actual policy language and the facts of the loss.
It does not mean every contract requirement is satisfied: A COI may show that coverage exists, but it does not automatically mean the limits, endorsements, or policy types match the requirement.

When Businesses Usually Need a COI

Most COI requests come from another party that wants proof your business has insurance before they work with you. The request may be simple, or it may include specific limits and endorsement wording.

Terms You May See on a COI Request

COI requests often include insurance terms that sound similar but mean different things. Simply put, it helps to understand what each term does before you respond to a client, landlord, lender, or contract partner.

  • Certificate holder: The organization receiving the certificate. Being listed as a certificate holder does not automatically give that organization coverage under your policy.
  • Additional insured: A person or organization added to certain liability coverage by endorsement. This usually requires the right policy approval, not just a typed note on the certificate.
  • Waiver of subrogation: A provision that may limit the insurer’s ability to seek recovery from a party named in the waiver after a claim. This often needs specific endorsement handling.
  • Primary and noncontributory wording: Contract language that may require your policy to respond before another party’s insurance. This should be reviewed carefully before you agree to it.
  • Loss payee or lender wording: A lender or finance company may need to be listed for property, equipment, or vehicle coverage. This is different from being an additional insured.

What to Have Ready Before Requesting a COI

The clearer the request, the easier it is to issue the certificate correctly. If a client, landlord, lender, or project owner sent you insurance requirements, share those details with your agent before the certificate is prepared.

  • The certificate holder’s legal name and mailing address
  • The contract, lease, or written insurance requirements if available
  • Any required limits, such as general liability, auto liability, workers’ compensation, or umbrella limits
  • Any request for additional insured, waiver of subrogation, primary and noncontributory wording, or loss payee status
  • The project name, jobsite address, lease address, vehicle, equipment, or contract number if applicable
  • The deadline for providing proof of coverage
  • Your current policy or declarations page if Dream Assurance is reviewing coverage you already have
